This Privacy Policy explains how Shamarie Flavel / Shamarie’s Body & Mind Therapies / Evolve Courses collects, uses, stores, protects, and shares personal information.

Information collected for SSS, QSP, Soul Blueprint, Biosenetics, Energy 4 Life, or other energetic/intuitive services may also include names, dates, locations, questions, focus areas, session notes, symbolic or energetic observations, interpretive notes, and related reading material.
4) How Personal Information Is Collected
Personal information may be collected when you:
  • book an appointment;
  • complete a client intake form, questionnaire, booking form, or consent form;
  • purchase a product, session, course, webinar, membership, or digital resource;
  • enrol through Kajabi or another platform;
  • communicate by email, phone, SMS, social media, website form, or messaging platform;
  • attend a private session, Zoom session, live call, group program, webinar, or membership session;
  • participate in a course, community space, comment thread, group discussion, or live chat;
  • subscribe to a newsletter or download a free resource;
  • visit a website or interact with emails, advertisements, or online content;
  • provide information directly during a consultation, reading, or service.
Information may also be generated through booking systems, Kajabi, Zoom, email platforms, payment processors, analytics tools, or other service platforms used to deliver services and operate the business.
5) Why Personal Information Is Collected and Used
Personal information may be collected, used, and held for purposes including:
  • providing consultations, sessions, readings, courses, webinars, memberships, digital products, and related services;
  • managing bookings, payments, invoices, receipts, subscriptions, and access;
  • preparing for Soul Blueprint, SSS, QSP, Biosenetics, Energy 4 Life, or other readings or services;
  • maintaining client notes and service records;
  • communicating about appointments, purchases, access details, reminders, updates, and service delivery;
  • providing follow-up information where appropriate;
  • responding to enquiries, concerns, complaints, or access issues;
  • operating websites, Kajabi pages, online courses, memberships, email systems, and digital platforms;

6) Health Information and Sensitive Information
Health information and other sensitive information are treated with particular care.
This information is collected only where reasonably necessary for the service being provided, where you have consented, or where otherwise permitted by law.
You are responsible for providing accurate and relevant health information where needed, including medications, allergies, pregnancy, breastfeeding, mental health concerns, diagnoses, adverse reactions, or other practitioner care, so that services can be provided safely and appropriately.
7) Zoom Recordings, Transcripts and AI Summaries
Private online consultations, Zoom sessions, live calls, webinars, or group sessions may be recorded unless otherwise stated.
Zoom sessions may also use Zoom’s built-in AI or summary tools, where available. These tools may generate automated transcripts, notes, action summaries, or session summaries.
AI-generated summaries are used to assist with record keeping, continuity of care, follow-up, administrative clarity, or service delivery.
You understand that AI-generated transcripts, notes, or summaries may not be complete or perfectly accurate. Shamarie may use professional judgement when reviewing, editing, storing, or relying on any AI-generated summary.
Where a private consultation is recorded or summarised using Zoom AI or similar tools, the recording, transcript, or summary may be treated as part of your client record and handled in accordance with this Privacy Policy.
If you do not consent to a session being recorded or summarised using Zoom AI or similar tools, please raise this before the session begins so that we can discuss whether the service can proceed without recording or whether another arrangement is more appropriate.
8) Group Sessions and Community Spaces
If you participate in a group session, webinar, course, membership, community space, live chat, comment area, or discussion space, other participants may see or hear information you choose to share.
Group spaces are not confidential in the same way as private consultations.
Participants are asked to respect confidentiality, but Shamarie cannot guarantee that other participants will keep information private.
Please use discernment when sharing personal, sensitive, health-related, or private information in group spaces.
9) When Personal Information May Be Shared
Personal information is not sold.
Personal information may be shared only where necessary, authorised, or permitted. This may include:
  • with other healthcare or professional providers, where you have given consent;
  • with booking systems, Kajabi, email platforms, payment processors, Zoom, website hosts, analytics tools, cloud storage, or other service providers needed to operate the business and deliver services;
  • with professional advisers such as accountants, bookkeepers, insurers, lawyers, IT providers, or administrative support where reasonably necessary;
  • where required or authorised by law;
  • where necessary to lessen or prevent a serious threat to life, health, safety, or public safety;
  • where necessary to respond to a complaint, dispute, chargeback, legal claim, regulatory issue, or safety concern.
Third-party platforms may collect, store, or process information according to their own terms and privacy policies. These providers may store or process information outside Australia.
While reasonable care is taken in choosing reputable service providers, Shamarie cannot control every aspect of third-party platform security, storage, policies, or compliance.
10) Third-Party Platforms and Payment Processors
Services and products may be delivered, booked, accessed, or paid for through third-party platforms such as Kajabi, Stripe, PayPal, Zoom, Google, email marketing systems, booking platforms, social media platforms, analytics tools, or website providers.
These platforms may collect information including your name, email address, payment details, purchase history, login information, course progress, attendance information, or technical data.
Payment details are generally processed by third-party payment processors and are not fully stored or controlled by Shamarie.
Your use of third-party platforms may also be subject to their own privacy policies and terms.
11) Email Marketing and Communication
By subscribing to a newsletter, downloading a free resource, enrolling in a course, joining a membership, purchasing a product, or otherwise providing consent, you may receive emails from Shamarie’s Body & Mind Therapies, Shamarie Flavel, or Evolve Courses.

You can unsubscribe from marketing emails at any time using the unsubscribe link provided in the email.
Unsubscribing from marketing emails does not prevent essential transactional or service-related emails, such as booking confirmations, receipts, access details, reminders, account information, course access notices, or important service updates.

Access to personal information is limited to Shamarie and, where necessary, trusted service providers, professional advisers, or support personnel who require access for legitimate business, service, technical, administrative, legal, or professional purposes.
No digital system can be guaranteed completely secure. If a data breach occurs that is likely to result in serious harm and notification is required by law, affected individuals and relevant authorities will be notified where required.
14) How Long Personal Information Is Kept
Personal information is kept for as long as reasonably necessary for the purpose it was collected, for service continuity, record keeping, professional, legal, insurance, tax, accounting, or business requirements, or as otherwise required or permitted by law.
Client and health-related records may be kept for a minimum of 7 years, or longer where required by law, insurance, professional standards, or business needs.
When information is no longer required, reasonable steps will be taken to destroy it, delete it, or permanently de-identify it where practicable.
15) Accessing or Correcting Your Personal Information
You may request access to personal information held about you.
You may also request correction of personal information if you believe it is inaccurate, incomplete, out of date, or misleading.

Identification may be required before information is released or corrected.
A reasonable administrative fee may be charged for providing copies of records, where permitted by law. No fee will be charged simply for making an access request.
Requests will be responded to within a reasonable time.

19) Links to Other Websites
Services, courses, memberships, and digital products are generally intended for adults unless otherwise stated.
If an adult requests a Soul Blueprint Reading, SSS reading, QSP reading, energetic, intuitive, symbolic, or field-based reading for a person under 18 years of age, the adult must be the child or young person’s parent or legal guardian, or must otherwise have lawful authority to request the service.
For naturopathic, natural medicine, herbal, homeopathic, wellbeing, or child-focused consultations involving a person under 18 years of age, a parent or legal guardian must provide consent and must be present for the consultation unless otherwise agreed and legally appropriate.
Information relating to children and young people will be handled with particular care and in accordance with this Privacy Policy and applicable law.

This Privacy Policy may be updated from time to time to reflect changes in services, technology, platforms, legal requirements, or business practices.

Introduction

This privacy policy is to provide information to you, my client, on how your personal information (which includes your health information) is collected and used within my practice, and the circumstances in which I may share it with third parties.

Why and when your consent is necessary?

When you register as a client of my practice, you provide consent for  me (Shamarie) to use your personal information so I can provide you with the best possible healthcare. If I need to use your information for anything else, I will seek additional consent from you to do this.

Why do I collect, use, hold and share your personal information?

My practice will need to collect your personal information to provide healthcare services to you. My main purpose for collecting, using, holding your personal information is to manage your health. We also use it for directly related business activities, business marketing and updates from time to time.

What personal information do I collect?

The information I will collect about you includes your:

  • Names, date of birth, addresses, contact details
  • Medical information including medical history, medications, allergies, adverse events, immunisations, social history, family history and risk factors
  • Family and social past experiences
  • Wellness  Indicator Assessment Questionnaire

How do we collect your personal information?

My practice may collect your personal information in several different ways.

  1. When you make your first appointment you will be asked to fill in a client intake form online or in person.
  2. During the course of providing Natural Wholistic Health Services, I may collect further personal information.
  3. I may also collect your personal information when you visit my website, send me an email or SMS, telephone me, make an online appointment or communicate with me using social media.

When, why and with whom do I share your personal information?

I sometimes share your personal information:

  • with other healthcare providers, when you have given express permission for me to do so
  • when it is required or authorised by law
  • when it is necessary to lessen or prevent a serious threat to a client’s life, health or safety or public health or safety, or it is impractical to obtain the client’s consent.
  • Minimal information such as your name, email and telephone number are also stored as encrypted data by my booking system provider and email provider. These providers are obligated by law to keep your information secure, however, I cannot guarantee their compliance.

My practice will not share personal information with any other third party that is not outlined above without your consent

How do I store and protect your personal information?
My practice stores all personal information securely on a password protected Ipad File.  The backup copies of these files are not stored on line.

Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

How can you access and correct your personal information at our practice?

You have the right to request access to, and correction of, your personal information. My practice acknowledges clients may request access to their health records. I require you to put this request in writing and my practice will respond within a reasonable time. My practice will take reasonable steps to correct your personal information where the information is not accurate or up to date. From time to time, we will ask you to verify that your personal information held by my practice is correct and current. You may also request that we correct or update your information, and you should make such requests in writing to Shamarie’s Body and Mind Therapies will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information I may require identification from you before releasing the requested information.

Also with regard to cookies etc do we have to have a popup for them the accept that we are collecting information when they visit my website?  I know that at the moment minimal information is collected but I am also aware that through google I can collect more
